Client Reactivation for Med Spas

Your next 30 appointments are already sitting in your database.

Every med spa is carrying hundreds of leads who never booked and past clients who stopped showing up 6, 9, 12+ months ago. We run a 5-day SMS and email campaign to those exact people, put the ones who are ready back on your calendar, and then we get out. No ads. No new leads. No retainer.

5 days start to finish · Zero cold lists — your database only · No retainer, no lock-in

The Mechanism

You already paid for these people. Here’s why they never came back.

You spent money getting them in the door the first time — the ad, the lead form, the consult, the first treatment. Then life happened. They meant to rebook. Nobody followed up. And a lead that cost you $80 to generate turned into a row in a CRM nobody has opened since.

Meanwhile your front desk is running a full schedule and answering the phone. Chasing 900 dormant contacts is nobody’s job, so it never happens. The generic “We miss you! 20% off!” blast goes out once a quarter and gets ignored, because it reads like a blast.

The demand is already there. It just needs someone to go get it.

So that’s the only thing we do.
01

We only message people who already know you.

No purchased lists, no cold traffic, no scraped data. Every single person we contact opted in with you, walked through your door, or handed you their number at some point. That’s why the reply rate looks nothing like cold outreach.

02

SMS first, email right behind it.

Texts get read in minutes; email gets read when they have time. We run both on a deliberate 5-day rhythm so the same person gets a reason to reply on the channel they actually use — without ever feeling spammed.

03

Five days, then we’re gone.

This is a sprint, not a subscription. We come in, run the campaign, hand you the bookings and the reporting, and remove ourselves from your systems. You are never locked into a monthly fee to keep the results you already paid for.

You’ll know whether your database still has money in it inside five days. Not month four.

The Campaign

How we get them back on your books

Access
Segment the database
SMS + email, 5 days
Replies handled
Booked on your calendar

Which segment gets which message, in what order, on which day — that’s our call, not yours. You approve the copy once and then get out of the way.

Channel 01

SMS — where the replies happen

A text from a business they’ve actually been to gets opened. We write short, specific, human messages that reference the treatment they came in for and give them a concrete reason to come back now — not a coupon shouted at everyone.

Sent on a compliant cadence with opt-out language on every message, quiet hours respected, and every existing unsubscribe in your system honored before we send a single text.

Channel 02

Email — where the slow ones convert

Not everyone answers a text the same day. Email runs in parallel across the same five days, carrying the offer to the people who read on their own schedule and catching the ones whose numbers have gone stale.

We use your existing sending setup so replies land where your team already looks, and we never touch your list for anything other than this campaign.

SMS finds the ready ones fast. Email sweeps up the rest. Every reply gets a real response before it ever reaches your calendar.

Not Cold Outreach

“My old leads are dead. I’ve already tried texting them.”

You tried texting them once, with one message, probably a discount, probably sent to everyone at the same time. That’s not a campaign. That’s a blast.

By the time someone books through us they’ve been segmented by what they came in for and how long they’ve been gone, messaged with copy written for that specific situation, given multiple reasons to reply across five days, and answered by a real person who handled their question and put them on your calendar.

Dormant Reminded Replied Questions answered On your books

They show up already knowing your name, your address, and what they’re coming in for. That’s not a dead lead. That’s a client who needed a reason.

And we hand you more than a full calendar

A booked appointment that no-shows is worth nothing. So the things that decide whether a reactivated client actually walks in are our problem too:

01
We tell you what your database is worth.

You get the real breakdown: how many contacts are reachable, which segments responded, which treatments pulled, and what the same list should do next time.

02
You get the objections, in their words.

Every reason people gave for not coming back — price, results, a bad experience, they moved — goes into your wrap report. Most owners have never seen this written down.

03
Your front desk gets the script.

Confirmation flow, no-show recovery, and the exact language that worked, handed over so your team can keep running it after we leave.

The Sprint

Your five days, hour by hour

From the call to the handoff, this is every step. There is nothing else hiding behind it.

  1. Before Day 1

    The call, and your decision

A short call where we look at how many contacts you have, how long they’ve been dormant, and what you actually want booked. If the numbers aren’t there, we tell you and you keep your money. If they are, you get pricing and terms in writing, and you decide.

  2. Day 0 — Setup

    Access and approval

You give us access to your marketing system — GoHighLevel, Boulevard, Mangomint, Podium, Zenoti, Klaviyo, whatever you run. No system? We work from a clean export and set up the sending for the campaign. We pull the list, segment it by treatment and time since last visit, scrub opt-outs, and write the copy. You approve it once.

  3. Days 1–5 — Live

    The campaign runs

SMS and email go out on a planned daily rhythm across the whole segmented list. Replies get answered as they come in, questions get handled, and interested people get booked directly into your calendar. You get a short report at the end of every day: sent, replied, booked.

  4. After Day 5 — Handoff

We hand it over and get out

Final wrap report, every booked appointment sitting in your system, the copy that worked, the objections we heard, and the confirmation script for your front desk. Then our access is revoked and we’re done. If you want another campaign in six months, you know where to find us.

In The Agreement

The deal, in plain English

Everything below goes in writing before you pay anything. No asterisks, no auto-renew buried on page four.

  • Five days means five days. The campaign window is fixed and written down before we start.
  • Pricing upfront, in writing. You get the full number on the call, before you commit. Part of what we charge is tied to appointments actually booked, so we carry real risk alongside you.
  • No retainer, no monthly fee, no lock-in. When the sprint ends, the relationship ends unless you choose to run another one.
  • Your database only. We never message a contact who isn’t already yours. No purchased lists, ever.
  • Compliance is built in. Opt-out language on every message, quiet hours respected, and every existing unsubscribe in your system honored before we send.
  • Your data stays yours. We don’t sell it, share it, keep it, or reuse it. Access is revoked at handoff.
  • You keep everything. The clients, the copy, the segments, the reporting. All of it stays with you.

Book a call and ask us anything about it.

Who this is for

  • A database with history. Hundreds or thousands of old leads and past clients already in your system.
  • Open capacity in the next 30 days. Rooms and injector hours you’d rather not leave empty.
  • Someone who can answer. A front desk or owner who can take bookings for five days straight.
  • Treatments worth rebooking. Injectables, laser, body, memberships — anything with real repeat value.
  • You’ve bought leads before. And most of them never booked. Those are the ones we go after.

Who this isn’t for

  • A brand-new spa. If there’s no history in the database, there’s nothing to reactivate yet. Come back in a year.
  • Nobody to answer for five days. The campaign creates conversations. Somebody has to be there.
  • You want a monthly agency. We’re a sprint. If you want someone running ads every month, that’s a different shop.
  • You want cold lead generation. We don’t buy lists or run ads. We only work the people you already have.
Timing

Owners usually call us with one of these already happening.

A soft month showing up on the schedule
A new device or treatment that needs volume fast
Slow season coming and the calendar is thinning
Thousands of old leads sitting in the CRM doing nothing
Ad spend paused, and inbound went with it
Just switched systems, and the old database came along
Deliverables

Questions

Common questions

What does this cost?

You get the full number on the call, upfront and in writing, before you commit to anything. Part of what we charge is tied to appointments actually booked, so we only do well if your calendar does. There’s no retainer and no recurring charge of any kind.

Will this annoy my past clients?

It’s the first question every owner asks, and it’s the right one. These are your clients and your reputation, so the copy is written to sound like your spa reaching out, not a marketing company renting your list. Messages are specific to what each person came in for, they carry a clear opt-out, they go out during reasonable hours, and anyone who opts out is removed immediately and permanently. You approve every message before a single one sends.

What access do you actually need?

A user seat in whatever marketing or booking system you already run — enough to pull the contact list, send the campaign, and see replies. We use a dedicated login, we don’t touch anything outside the campaign, and the access is revoked at handoff on day 5.

Which systems do you work with?

GoHighLevel, Boulevard, Mangomint, Zenoti, Podium, Klaviyo, Vagaro, Aesthetic Record and most others. If you run something unusual, bring it to the call — we’ll tell you honestly on the spot whether we can work in it.

What if I don’t have a marketing system?

Then all we need is a clean export of your contacts and we’ll run the campaign on our own sending setup. You still get every booking in your calendar and the full list back at the end. It costs you nothing extra.

Is this compliant?

We only message contacts who already have an existing relationship with your business, every message includes opt-out language, we respect quiet hours, and we scrub your existing unsubscribes before sending. That’s how we run every campaign — but we’re a marketing company, not your attorney, and your own counsel has the final word on what your business can send.

How big does my list need to be?

There’s a floor, and we’ll tell you on the call whether you clear it. Reactivation is a percentages game: too few reachable contacts and the math doesn’t work for either of us. We’ve told people to wait rather than take their money.

What happens after the five days?

You get the wrap report, the appointments, the copy that worked, and the objections we heard. Our access comes off your systems. Nothing renews and nothing bills again. Most owners let the list rest and run another campaign months later, once there’s a new group of people who’ve gone quiet.

Can I just have my front desk do this?

You can, and if they ever get to it, you should. In practice the front desk is running a full schedule, answering the phone, and checking people out. A thousand dormant contacts is a project, not a spare-afternoon task — which is exactly why that list has been sitting there for a year.

How soon can we start?

Usually within a week of the call: a day for access and segmentation, a day for copy and your approval, then the five days go live. We only run a limited number of campaigns at a time, so the calendar is the real constraint.

Next Step

See what your database is actually worth

A short call. We look at your contact count, how long they’ve been dormant, and what you want booked, and we tell you what a 5-day campaign should realistically produce. If the numbers aren’t there, we’ll say so and you’ll have lost fifteen minutes.

Book Your Reactivation Call

Fifteen minutes. The calendar opens right here — pick any slot that works.

Limited campaigns per month — we run them one at a time so replies get answered fast.

What Recall Partners does, in plain terms

Recall Partners is a client reactivation company for med spas. We work exclusively with the contacts you already own — the leads who inquired and never booked, and the clients who came in once or twice and then went quiet six, nine, twelve months ago. Over five days we run a segmented SMS and email campaign to those people, answer every reply ourselves, and book the ones who are ready straight into your calendar.

We are not an ads agency and we’re not a monthly retainer. There is no lead generation, no list buying, and nothing to cancel. It is a single sprint against an asset you already paid for, with pricing agreed in writing before we start and part of it tied to appointments that actually get booked. If your database isn’t big enough or old enough for the math to work, we’ll tell you on the first call instead of taking the engagement.
